Clubmark Criteria - Management

It is important that you help your team of coaches and volunteers to understand their role and responsibilities in order to deliver a great service to your members. Resources have been produced to assist you in recruiting and developing your workforce.

Open access constitution or rules 

The constitution and/or rules identify the club and set out the relationship between the club’s members. The rules govern the entire operation of the club and confer powers on the management committee. 

It is important that the rules are clearly drafted and reflect all aspects of the club’s customs and practices so that they can be complied with easily. The rules should include a commitment to open access.  

The rules of your place to play should reflect the recent incorporation of the LTA (October 2011) and the introduction of the new disciplinary code.

Volunteer recruitment and retention policy 

The club needs an appropriate means to advertise for volunteers, taking into account methods for safe recruitment, retaining and rewarding volunteers and dealing with problems in volunteering.

Volunteer agreement form for each volunteer

As a management committee, you want to ensure each member of the group is well informed about club policies, understanding the content and purpose of each policy/procedure.

This presents a professionally run set up and gives members confidence in the team of people running the club.


Consultancy agreement for coaching services or coach/club charter  

 The coach provides a service to the members and in return generates an income from the activities.  It is therefore important to ensure that both parties have a good understanding of what is expected.
A contract of services or charter/basic agreement provides the coach with security and provides some guarantee of service provision from the professional.


Job specification for head coach along with each additional coaching role (wherever appropriate)

The role of the coach and coaching team varies greatly dependent upon size of the facility and the level of activity.

Large programmes require roles of responsibility in order to manage and co-ordinate effectively.

Sometimes the off court role and tasks of each role are paid for by the club as administrative duties; as they are an essential part of running an effective programme.
