Maidenhead LTC - Tennis Club Manager/Administrator

The club was formed over 125 years ago and is now located in All Saints Avenue about a mile from the town centre. We are one of the largest and most successful tennis clubs in Berkshire with excellent facilities. It has ten courts at All Saints and has the use of two courts in Oaken Grove park (300m away) which it manages and maintains on behalf of RBWM.  The club has approximately 500 adult members and 200 junior members and is open to everyone. The club is privately owned by the members and is run by various committees (unpaid) with the help of a paid Administrator who oversees a part time cleaner and a part time gardener.  Financial accounting and book-keeping is managed by the Treasurer and a paid book-keeper.  We rely a lot on voluntary contributions of time from the committee and members.

Accountabilities/Objectives

  • Be the primary point of contact for members (with the coaches and Committee members)
  • Ensure the club remains a friendly welcoming place for the members to play tennis and meet other members socially
  • Ensure the club runs smoothly and efficiently

Role

  • Engaged to work 15 - 20 hours per week,
  • Currently works Monday, Wednesday & Friday mornings. One evening attendance to be agreed
  • Reports to Facilities Manager

Current Responsibilities

Administration:

  • Help members with their queries, complaints and requests
  • Undertake general clerical and admin duties, post and phone
  • Email newsletters etc to members
  • Maintain club records on computer and hard copy in the fire safe
  • Manage court booking system including monitoring use/abuse
  • Work with Hon Sec to review/action new court allocation requests
  • Manage Oaken Grove tennis courts – bookings from public, collect fees
  • Act as Child Protection Officer
  • Work with Club Tournament organisers to help members enter and pay dues
  • Work with club Secretary  to maintain Clubmark standards
  • Collate/manage/issue paperwork for AGM
  • Assist Hon Sec with maintenance & changes of rules
  • Monitor/police the notice boards
  • Attend committee meetings as required (possibly in the evening) and provide reports of activities, statistics, expenditure etc
  • Ensure people using courts are members

Membership:

  • Maintain Membership Records
  • Work with Finance organisers to help members renew subs
  • Maintain waiting list
  • Arrange new member Inductions
  • Collect visitors fees

Maintenance:

  • Arrange all periodic safety checks and manage statutory compliances
  • Undertake minor repairs (e.g. light bulbs, tennis nets, water softener) and “tidying”
  • Organise/manage contractors for small work (floodlight replacement, builder, tree maintenance etc)
  • Employ/manage gardener and cleaner and window cleaner
  • Manage tennis courts including Oaken Grove (tidy rubbish, clothing, check nets)

General:

  • Be the smiling welcoming face of MLTC who keeps the club running smoothly
  • Responsible for sundry purchases - refreshments, cleaning materials etc.
  • Liaise with neighbours, local authority as necessary
  • Buy tennis balls. Sell balls to members. Issue balls to team captains
  • Issue keys to the club
  • Manage lost property (mainly clothing)
  • Maintain clubhouse condition and report problems to Facilities Manager
  • Look for ways to improve the club
  • Identify inefficiencies in procedures, expenditure etc and implement them where appropriate or refer them to Facilities Manager
  • Help arrange furniture before after major club events
  • Complete time-sheet for work and expenses and submit claim via Facilities Manager

Conditions of employment

  • The Administrator will work the hours that are needed to carry out the responsibilities of the job.  These tasks have historically been achieved in 15 hours per week (adjusting for a change in responsibilities).  Initially more time might be needed before the learning curve flattens.  The hours must be recorded and submitted along with any expenses incurred (e.g. coffee, sugar, refreshments).  The Administrator will be paid within a week of submitting the claim.
  • The post will be considered permanent and national Insurance and PAYE will operate.  Holiday pay is 8.5% of full year’s earnings and is paid in arrears.  Holiday time is by agreement.
  • A  DBS (was CRB) check (at the club’s expense) will have to made as the Administrator will be the clubs Child Protection Officer.
  • An employment complaints procedure is in place.
  • The job description is a guide to the requirements of the role and can and will change.
  • Notice period is 6 weeks from and to the employee (after the trial period)

Necessary Skills:

  • Organised, computer literate, methodical, clerical skills,

Necessary Attributes:

  • Out-going, welcoming, methodical, good communicator, has an interest in tennis, self-starter
